Cottage Co-op’s Parent Run Board
The Cottage Board is made up of parents currently enrolled in the school. The board meets once a month in person or online to conduct the business of the school. All Board meetings are open to the community, however only Board members have votes for the agenda items put out by the steering committee. Board Responsibilities by Pod Position:
President: The President’s primary goal is to be the face and leader of the school. They represent the school at internal and external (public) functions, and are the primary liaison with governments and the community. Their primary job function is to facilitate the smooth running of board meetings and chairs several committees focusing the schools direction. The president does not propose, second or vote on motions, unless there is a tie. They are named on all legal and tax documents.
Vice President: The informal leader of the Pod Captains and primary recruiter for board and pod members. In that job, they track fulfillment of parent obligations and primary point person for enforcement of policies & procedures. They fill in for President when absent, and would become temporary president if there was a resignation.
Treasurer: Committee chair for the financial committee and overseer of the financial transactions and the “books” for the school. Typically the key executive on the organizations bank accounts, and prepares and presents the annual budget.
Secretary: Primary responsibility is to record and maintain minutes for all Board & General Membership meetings. In addition, the secretary maintains the member records of Cottage members (current & alumni), and chairs the Membership Committee. They are responsible for logistics of Board & General Membership meetings, including location, invites, attendance and recording quorum.
Admissions: The admissions pod captain is responsible for the scope of the admissions process: conducts or arranges info sessions, tours, Open House, and handles all communications with prospective families, chairs the Admissions decision meeting and prepares and sends admissions letters.
Development: The development pod captain is responsible for all fundraising efforts, large and small, including the annual fund and collaborates on alumni outreach and relations. Our current roster of fundraising efforts include the Fall Fundraiser, mini-fundraisers and the potential for auction and alumni events.
Communications:The communications pod captain is responsible for all school communications, internal and external. This includes press releases, marketing materials, the Cottage website and blog, graphics and photography, including yearbook and end of year placemats. The Secretary of The Board is also in this pod.
Classroom Readiness: The classroom readiness pod captain is responsible for keeping the inside of Cottage clean, organized, and well-stocked. These duties include laundry, toy mending, inventories and purchasing, kitchen cleaning, and keeping the parent room and library tidy and clean.
Events: The community events pod captain is responsible for running all Cottage events, internal and external. These duties include set-up and clean-up for internal events (Harvest Festival, fix-its, Ice Cream Social, etc.).
Parent Education: In conjunction with the Director, Jocelyn Robertson, the Parent Education pod Captain is responsible for scheduling and developing a year long plan for all Cottage Parent Education offerings, internal and external, and coordinates Kinder Summit. These duties include set-up and clean-up, organizing and working these events as well as tracking parent education hours/obligations.
Facilities: The facilities pod captain leads the charge on maintaining and improving the school facility. The pod is responsible for organizing the fix-it days during which all Cottage families fulfill their fix-it hours. These duties also include ensuring that any necessary repairs and projects (large and small) are executed by professionals, pod members, or Cottage families.
Community Building: The Community Building Pod Captain supports the pod comprised of the Room Representatives (one per a class) in planning Parent Teacher work schedules and playdates, creating snack menus, and schedules. Plans and facilitates some social events and potlucks.
